This position is responsible to direct activities concerned with administration of contracts awarded and responsible to perform a variety of clerical duties and office support duties. Apply principles of accounting to analyze financial information and prepare financial reports.

Contract Administration
1.Coordinates activities concerned with administration of proposals and activities of bids and contracts awarded for assigned project work.
2.Works with other Contract Administrator and Administrative Assistant to balance tasks and responsibilities on our overall contract workload.
3.Obtains all necessary documents for contracts including bonds, insurance, sublets, etc.
4.Process prepared bids and approved amendments to or extension of contracts.
5.Processes subcontracts, verifying proper supporting documentation including bonds, insurance, and tax exemptions.
6.Processes subcontract payments for approval by project manager and payment by AP.
7.Final contract close-outs including maintenance bonds.
8.Tracks contract performance including contract paperwork and provides updates for project managers.
9.Receives and processes requests for deviations from contract specifications and delivery schedules.
10.Upload and manage bid information for projects in HCSS and distribute project listing.
11.Calculate and track sales tax for projects prior to invoicing.
12.Communicates with and maintains relationships with relevant subcontractors, DOT offices, bonding companies, and state and federal agencies as applicable.
13.Support as requested for any operational management needs in relation to contract and insurance issues.
14.Communicate effectively (verbal, listening, written) and work with various people under high stress situations. Self-motivated, team-player with good interpersonal skills; ability to maintain positive customer relations and act courteous/respectful of others.
15.Troubleshoot and problem solve situations/problems (material quality, equipment operation/repair, etc.). Monitor and discuss production problems with co-workers and managers/supervisors.
16.Works on DOT audits in addition to assisting with other audit requirements.
17.Performs other duties as assigned.
18.As needed, answers and screens calls, relays message, provides information and greets visitors.

Accounts Receivable
1.Assist with project and customer setup in ticketing system and updates for mix, plant, and cost changes.
2.Manage material billings by ensuring accurate sales pricing, generating daily reports, sorting documents, and invoicing customers and completing daily reconciliations.
3.Ensure that customers invoices and statements are issued timely. Complete monthly finance charge/statement processing.
4.Process credit card transactions and confirm all customer payments posted.
5.Manage the credit and collection process. Take and process credit applications, contact delinquent customers all while maintaining low delinquency rate and positive customer relationships.
6.Generate required reports.

Inventory
1.Processes receipts of materials into the system and code invoices for vendor payment.
2.Sets-up purchase orders for projects.
3.Collaborate with QC Manager to track material used in asphalt production, monitor changes and process inventory consumption.
4.Tracks KPI's for plant operations including tons produced, RAP used, plant hours available and used.
Minimum Qualifications:
1.Two-four years in a demanding construction or business related environment required.
2.Excel & Adobe Acrobat knowledge must be proficient.
3.Knowledge using HCSS, Apex, JDE, and Command a plus.
4.Understanding of contract administration for governmental construction work beneficial.
